GUEST POLICIES AND RENTAL AGREEMENT

OREGON CABIN RENTALS LLC

Welcome, we are delighted to have you as our guests!
Our Guest Policies are in place as a measure to ensure that the cabin is available for you to enjoy and that it is maintained in a safe and responsible manner. 
Most of you will consider these policies obvious standards of responsible conduct and travel. To those you, we apologize if this document comes across too regulatory. Unfortunately, we’ve been surprised by some of the choices a small few of our guests have made.  Some of these incidents include:
·         Trying to start a fire in the wood stove with lighter fuel!
·         Using one of the cabin phone books for kindling!
·         Dumping coals into the landscaping after having used the bbq under the eves of the cabin!
·         Leaving bags of garbage on the front deck for the local critters (and sometimes bears!) to enjoy.
·         Smoking enough cigarettes in this non – smoking cabin to leave it smelling like an old ashtray for 3 days!
It is with these former guests in mind that we have decided to  put clear guidelines in place for quiet enjoyment of the Wildwood River Cabin.

As a guest of OREGON CABIN RENTALS, LLC, you agree to the following policies: 

Check-in/out:  Check-in is at 3 PM at the cabin.  Check-out is 12 PM.   You will find a key in a lock box at the cabin. Please return your key to the lock box upon check-out. You will be charged a fee of $75 for any keys not returned upon departure.

Housekeeping has only a 3 hour window to completely clean and set-up for the next guests. Please respect their work schedule and do not arrive early or stay late. Early arrival or failure to vacate the premises on time may result in a charge for an additional night’s stay.

Pets: Dogs are welcome at the cabin. Other pets may be considered on an individual basis. If you wish to travel with your dog, Oregon Cabin Rentals must be informed in advance. Our Pet Policy is considered part of this Rental Agreement whenever pets are guests at our cabin. 

NO Security Deposits:  We do not charge our guests a security deposit.  However, we do expect that you to treat the cabin with respect and leave it in a condition similar to what it was in when you arrived.  Your current VISA or MasterCard will be retained until after departure and may be used to cover the costs of: additional rent for occupants not listed on the reservation, damages, replacement of missing items, cleaning beyond normal expectations or any other expenses incurred by the renter.

If there are any problems or damage caused by you or your animals as a result of your negligence, your current VISA or MasterCard will be billed.

Housekeeping**:  The Wildwood River Cabin is completely cleaned and sanitized before your arrival and after your departure. In order to keep the cleaning fees and turn-around time low, we ask that you do a few things before leaving.

We charge a $50 cleaning fee to our guests however, any cleaning necessary beyond what is considered standard procedures** will be billed to the primary registered guest. Please ask for clarification if you have any questions.

**Please Note:  Our Cleaning rates are based on the Departure Procedures being completed.  If they are incomplete or undone, we will need to pass on any additional cleaning charges.

Lodging Taxes:  There will be a 6% County Room Tax and a 1% Oregon State Lodging Tax charged on the total rental rate.

Payments:  A current credit card is required to reserve the Cabin, however payments can be made by cash, check, VISA or Master Card.  Funds will be withdrawn at the time reservations are made.  Withdrawals will be made under OREGON CABIN RENTALS LLC.

Checks can be made out to OREGON CABIN RENTALS LLC and sent to 4922 N Vancouver Ave  Portland,  OR  97217.  A credit card hold can be used to secure reservations paid for by check otherwise reservations will not be secure until the check or payment has cleared. 

Cancellations:   Cancellations at least 60 days or more (120 days during Christmas Season) prior to arrival will receive a full refund but a $50 cancellation fee will be charged. 
 
Cancellations within 60 days or less (120 days during Christmas Season) 
prior to arrival -- no refund can be given unless able to rebook. 
 
Unfortunately, there can be no refunds given due to acts of God, nature, weather or weather-related situations, mechanical or electrical failure, ski or golf conditions, power failures or family feuds. 

However, at the sole discretion of Oregon Cabin Rentals LLC and upon review of individual circumstances, a credit for a future rental may be given. 

Trip Cancellation Insurance: Oregon Cabin Rentals does not currently offer Trip Cancellation Insurance.  

Limited Occupancy and Quiet Enjoyment:  Clackamas County and our safety codes determine the occupancy level of each home. We can not allow camping in tents, on decks or patios or in RVs or campers on the property. 

The clearly stated maximum occupancy for the Wildwood River Cabin is 6 guests and may not be exceeded.  If there are additional guests joining your group during your stay at the cabin (not exceeding the maximum occupancy limit), they must be pre-approved by Oregon Cabin Rentals & additional rent must be paid in advance.

Unauthorized guests will be evicted immediately.  The primary registered guest on the reservation must be over 21 years of age and must be staying at the vacation rental for the entire visit. The primary registered guest will be held responsible for any expenses incurred during the visit. Unfortunately no guests who are under 21 years of age may stay in the cabin unless they are with their parents or legal guardians. 

Please be considerate of our neighbors by staying aware of noise levels – both human and animal. Also, although it may be tempting to walk along the river, please respect our neighbors’ privacy and property by enjoying yourselves within the boundaries of the cabin property. 

Loud noisy parties cannot be tolerated. Excessive noise, loud music, offensive behavior, etc. will result in immediate eviction. No refund will be given.  

Also, please do not move furniture or rewire stereo equipment. We will have to charge the primary registered guest for the time it takes to return items to their original position and/ or working order.

No Smoking:  Our cabin is a non-smoking cabin.  Any cigarette or cigar smoking residue anywhere in the cabin will result in a $150 non-refundable fee. Additionally, do not leave cigarette butts anywhere on the property.

Parking:  The cabin has a general maximum parking of 2 vehicles.  You may be able to park additional vehicles in the drive way with pre-approval.  Additional vehicles may be towed at vehicle owner's expense. 

RVs, campers or trailers may not be parked at the cabin or on the cabin property for other people to use.

Tents are not permitted on cabin grounds. 

Repairs & Service Calls:  Because we are in a rural area, it is often difficult to get repairs done the same day we are made aware of their need. Please be patient if something is not working properly and we will do our best to remedy the situation as quickly as possible.

Amenities:  The Wildwood River cabin is fully furnished and supplied including a full kitchen with all appliances (refrigerator/freezer, stove top, oven, dishwasher, microwave & toaster), TV, VCR, DVD player, music player, telephone, washer/dryer, woodstove & all bed, bath & kitchen linens.   

Telephones & Internet Access:  The cabin is equipped with a telephone and free unlimited wireless internet. The code is on the underside of the modem. There are also several locations around the Mt Hood area that provide free Internet access.  Because of the tall trees and mountains, cell phones do not always get a signal at the cabin.

Hot Tub:  The Wildwood River Cabin provides a private outdoor hot tub.  Please read and follow the instructions provided to you at check-in regarding use.  We make every effort to keep the hot tub clean, well maintained and in good working order.  Due to the logistics of living on the mountain, we cannot always arrange for timely repairs or guarantee the mechanical operation of the equipment.  Do not adjust anything on the hot tub except the temperature, jets and lights. If the hot tub requires any extra maintenance or repairs due to misuse during your visit, you will be charged a minimum of $100 for the cost of repairs and maintenance.

 Furnishings & Equipment:  If you require special appliances or equipment, please bring them with you. Under no circumstances is any furniture, bedding, mattress pads, utensils or any other property supplied with the cabin to be taken out of the cabin. Moving of furniture is prohibited; do not move furniture or otherwise remodel the home! You will be charged for the time it takes to return furniture and for any repairs of any damages caused by moving items.  There are locked storage areas for the owner's personal items and supplies; please do not attempt to open locked storage areas. 

Woodstove & Firewood:  The cabin is equipped with a wood-burning stove. You are welcome to use the wood for fires in the Wood Stove.  Please do not burn trash or other items in the woodstove. Under no circumstances should lighter fluid be used to start a fire in the woodstove.

Outside Fires & Barbecues:  As there is a very HIGH RISK of FIRE, NO Outdoor fires are permitted in the fire pit between the months of July and October

However, if your stay is during permitted times (November through June), please do not build a fire outside anywhere other than the specifically designated fire pit on the property. 

You must provide your own wood for outside fires.  

While cooking on the barbecue, enjoying a fire in the woodstove or around the firepit, be sure there is someone monitoring the fire at all times. 

Please leave coals and ashes from BBQ's, fireplaces and woodstoves where they are, we will dispose of them later. 

Make sure you clean the BBQ after each use

Fireworks of any kind are not permitted at any time.

 Bugs, Critters & Bears:  Sometimes, non-human residents of the mountain may decide to join you at your vacation home.  We hope you enjoy watching the variety of wildlife such as birds, bats, deer, raccoons, chipmunks and the occasional black bear that live in this mountain community. There are bears and other wild animals (as well as neighborhood dogs) in the area that would like nothing more than to get into your garbage or to clean the BBQ grill for you.  Be sure not to leave any food or garbage outside and to clean the BBQ grill after each use.

Parties & Events:  We do not allow parties or other special events on a standard rental contract. Arrangements for special events must be made in advance. There is an additional fee charged for most parties or special events. The minimum fee is $450 for any unauthorized event that we find out about after the fact. We reserve the right to deny occupancy to any group who has an unauthorized party or event at the rental home. There will be no refund of rent or other taxes and fees for unauthorized events.   

Courtesy to Neighbors:  The renter agrees to use the property in a fashion for which it is reasonably intended. The renter will not act in a manner that will infringe upon other guests' or neighbors' rights, enjoyment or use of property or adjacent property. Respect quiet times and keep noise levels down between 10 PM and 8 AM.  The following items are strictly prohibited in the rental home, on the property of the rental home or on property adjacent to the rental home: no paint balls, no water balloons, no BB guns, no fireworks, no cigarette butts, no beer caps, and no stickers. 

Lost & Found:  We are not responsible for lost or stolen items. 

Power Outages:  During the winter months, the mountain may experience power outages due to winter weather conditions including wind, rain, fallen trees, ice or sometimes traffic accidents.  For us, periodic blackouts are a way of life.   As a visitor, you may feel a bit uneasy; we understand that, so to put your mind at ease, we have stocked the house with flashlights and battery-operated lights.  Typically the power will be restored within a few hours; you can call PGE at 503-464-7777 for more details. 

Right of Entry:  Oregon Cabin Rentals shall have the right at any and all reasonable times to enter and inspect the premises.

Eviction:  Oregon Cabin Rentals reserves the right to evict, at any time, any guest who is not in compliance with the above stated policies. There will be no refunds for evictions due to non-compliance with the policies.
